The Municipal Archives & Records Facility Office of the City Clerk is ADA compliant, offers free parking and can process documents. This particular place is conveniently situated next to the Vital Records Office as an additional bonus, should individuals need a certified copy of their long form birth certificate. Appointments are not needed. This office is open Mondays through Fridays from 8 AM to 5 PM except Wednesdays which is 8 AM to 5:30 PM. Items needed when you apply for a passport are completed DS-11 (Passport Application) form, all applicants including minors must be present, proof of US citizenship (origina), document for identification (primary ID’s), passport photo and two (2) separate fees are needed: First fee is payable to the USDOS or U.S. Department of State by check or money order ONLY. Second fee is payable by cash, check, credit card, or money order to the City of San Antonio.
The initial records that were received will be mailed to the United States. State Department. Such papers will be sent back to the applicant. The U.S. delivery times that the State Department to issue your passport ranges between 6-8 weeks (Regular Service) and 2-3 weeks (Expedited Service). A certified birth record is required to apply for a passport.
The City Clerk’s Office maintains records of births, deaths, and fetal deaths that occur in Bexar County. Birth records from 1897, death records from 1873 and fetal death records from 1952 are available online. Since 2012 the Vital Records Section has been with the City Clerk Office.
It has access to abstracts of birth certificates through the Texas Vital Statistics Remote Birth Access program. Registration is available at the main Vital Records Section of the City Clerk’s Office, Monday through Friday, until 5:00 P.M. For most purposes, abstracts of birth may be used, except for genealogy and immigration. For the purpose of obtaining a passport such abstracts will not be appropriate, in which case the long form will be required. For information about how to get the long form, please call your county of birth or the Texas Department of State Health & Human Services Vital Statistics Unit (1-888-963-7111). It’s good to note that this office does not have access to your order information and can not provide status updates if you order records from DSHS or any other city or county. Texas legislation calls for birth and death certificates to be private documents with restricted access. Section 552.115(a)(1) of the Texas Public Records Act: Birth records are limited up to 75 years after the date of registration. Section 552.115(a)(2) of the Texas Public Information Act: Death records are limited until 25 years after the date of filing.
